Tournament Information

TOURNAMENT INFORMATION

  • Four rounds: first round at 10 am, subsequent rounds occur as soon as possible.
  • Four sections: K-12, K-8, K-5, and K-3
  • Time control: Game in 30 minutes with a 5-second delay (US Chess regular and quick rated)
  • Entry fee: $50 by 04/18/, $55 by 04/25, $60 by 04/30, $65 on 05/04 (on-site registration closes 30 minutes before round 1)
  • Boards and pieces will be provided for all players, but we don’t have enough clocks for everyone (those who have clocks are welcome to bring them)
  • This tournament is US Chess rated, so an active US Chess membership is required. If you don't have one, we will purchase it for you ($17-$20 value!). Please request it as it is limited to first five players. If you're not sure what your ID# is, you can look it up here
  • No electronics scoring devices are allowed.
  • Parents should look after their kids before and after the games.
  • Don’t hesitate to reach out to us at tournaments@gmchessprep.com with any questions.
  • No refunds. Credit for tournament can be transfered to online group lessons if cancelled at lest day before tournament.

PRIZES

 Trophies for 1st through 5th in each section,   1st place in each section will  receive one-month free entry into a GMChessPrep.*

Admission into some weekday course cannot be guaranteed due to limited seat availability.

Note: For trophies, ties will be broken using standard US Chess tiebreaks. In the event of a tie, the free course prize will be determined by tiebreaks. If multiple players get a perfect score, each of them will receive a free course entry.

 

VENUE INFORMATION/LOGISTICS

  • PARKING: The School has free parking. There are spots in front of the school and around.
  • There is no scheduled lunch break, but there is almost always time for players to have snack, food between games. There aren't any scheduled round times--rounds will occur as soon as possible.

LIABILITY WAIVER AND CONSENT FORM

In consideration of being allowed to participate in the chess tournament organized by Gmchessprep LLC, I, the undersigned, hereby agree to the following terms and conditions:

  1. Liability Release:

 

  1. I understand and acknowledge that Gmchessprep LLC, its organizers, and the venue (Westbriar Elementary School) are not responsible for the loss or theft of personal items during the event.
  2. I release Gmchessprep LLC, its organizers, and the venue from any liability for personal injury, accidents, or damage to property that may occur during the tournament. This includes injuries or damages that may arise from playing chess or related activities. Participants are expected to use the playing area and equipment responsibly, ensuring they do not damage school property.
  3. I acknowledge that I am responsible for any food or snacks I bring to the tournament, and I will not bring any items that may cause allergies or health concerns to others. I understand that food consumption is not allowed in the tournament hall. Participants with special needs are encouraged to inform the tournament organizer at least three weeks before the event to ensure proper accommodations can be provided.
  4. I hereby agree to indemnify and hold harmless Gmchessprep LLC, its organizers, agents, employees, and the Westbriar Elementary School from and against any and all claims, liabilities, suits, demands, damages, losses, or expenses, including reasonable attorney's fees and costs, arising out of or related to my participation in the chess tournament.

I understand that my participation in the tournament involves certain risks, and I accept full responsibility for any injuries, damages, or losses that may occur as a result of my participation. I agree to defend, indemnify, and hold the aforementioned parties harmless from any claims, demands, or actions, including those brought by third parties, arising from or in connection with my participation in the tournament.

This indemnification includes, but is not limited to, claims of personal injury, property damage, or any other harm that may arise during the tournament, whether caused by my actions, the actions of other participants, or unforeseen circumstances.

I understand the scope and effect of this indemnification clause and acknowledge that it is a material part of the liability waiver.

  1. Medical Authorization and Emergency Contact:

I grant permission to the organizers of the chess tournament, as well as any authorized medical personnel, to seek and administer necessary medical attention in the event of an emergency or injury during the tournament. I understand that the safety and well-being of all participants are of utmost importance.

In case of a medical emergency, I authorize the organizers to:

  • Contact emergency medical services (911) if deemed necessary.
  • Administer basic first aid or medical treatment as deemed appropriate.
  • Contact the emergency contact person listed above.

I understand that the organizers will make every effort to contact the emergency contact person provided above. Still, in situations where immediate action is required, I authorize them to act in my best interest by seeking medical attention promptly.

I also acknowledge that any expenses incurred for medical treatment will be my responsibility, and I release the organizers and venue from any liability related to such expenses.

  1. Photography and Publicity Consent:

I grant permission to the organizers of the chess tournament to photograph or record me during the event. I understand that these photographs or recordings may be used for promotional, marketing, or informational purposes related to the tournament, both online and in print.

I consent to the use of my image, likeness, and voice in photographs, videos, or other media taken during the tournament. I understand that these materials may be used in various forms, including but not limited to websites, social media, brochures, and press releases.

I acknowledge that this consent is voluntary, and I will not receive any compensation for the use of these materials. If I do not wish to be photographed or recorded, I will inform the event organizers in writing before the tournament begins

  1. Code of Conduct

I hereby agree to adhere to the following Code of Conduct during my participation in the chess tournament organized by Gmchessprep LLC:

  1. Fair Play: I will play chess with integrity and honesty, abiding by the rules and principles of the game. I understand that cheating, collusion, or any form of unfair play is strictly prohibited and may result in disqualification from the tournament.
  2. Sportsmanship: I will conduct myself with sportsmanship at all times, treating fellow participants, organizers, and spectators with respect and courtesy. I will not engage in any behavior that may be considered disrespectful, offensive, or disruptive.
  3. Respect for Opponents: I will show respect for my opponents, win or lose, and refrain from any unsportsmanlike conduct, including taunting, trash-talking, or any form of harassment.
  4. Respect for Organizers: I will follow the instructions and decisions of the tournament organizers and staff. I understand that their decisions are final and binding.
  5. Respect for Venue: I will respect the venue (Westbriar Elementary School) and its property, ensuring that no damage is caused to the facility or equipment. I will also adhere to any rules or policies set forth by the venue.
  6. Conflict Resolution: In the event of a dispute or conflict during a chess game, I will follow the tournament's designated procedures for resolving disputes, which may include seeking arbitration from a tournament official.
  7. Prohibited Substances: I will not use or be under the influence of alcohol or illegal substances during the tournament. I understand that the use of such substances is strictly prohibited.
  8. Quiet and Focused Play: I will maintain a quiet and focused atmosphere in the tournament hall, refraining from loud conversations, distractions, or disruptive behavior that may interfere with the concentration of other participants.
  9. Compliance with Laws: I will comply with all local, state, and federal laws and regulations during the tournament.
  10. Consequences of Violations: I understand that violations of this Code of Conduct may result in penalties, including warnings, loss of games, disqualification from the tournament, or other appropriate actions determined by the tournament organizers.

I acknowledge that adhering to this Code of Conduct is essential to creating a positive and enjoyable chess tournament experience for all participants. I agree to abide by these principles and accept the consequences of any violations.


I have read and fully understand the terms of this liability waiver, and I voluntarily agree to its provisions. I acknowledge that participation in the chess tournament involves certain risks, and I assume full responsibility for any injuries or damages that may occur as a result of my participation.
